Privacy Policy
1. Who we are
This website is operated by UTAMU Collective SRL (Place Jean Rey 8, 1040 Brussels, Belgium — enterprise number 1025.358.789) and UTAMU Coffee'n Pastries SRL (Rue du Palais 2, 4000 Liège, Belgium — enterprise number 0803.633.023). Together we are referred to as "UTAMU", "we" or "us", and we act as joint data controllers for the personal data collected through utamu.eu.
For any question about this policy: hello@utamu.eu.
2. What we collect, and why
We only collect what you give us. Concretely:
- Special requests form (Brussels) — name, company, email, phone, type of request, preferred date, number of people and your message. Used to prepare a quote and answer you. Legal basis: steps taken at your request prior to entering into a contract.
- Kahawa Conversations registration — name, email, optional phone, chosen theme and optional message. Used to register you and send you the details of the session. Legal basis: your consent.
- Newsletter (UTAMU Circle) — your email address. Used to send you our letter. Legal basis: your consent, withdrawable at any time.
- Table reservations in Liège — handled by our booking provider (see section 4), not stored by this website.
We do not use this website to profile you, and we do not sell or rent your data to anyone.
3. How long we keep it
- Special requests and quotes: 3 years after the last contact, or 10 years where accounting law requires it for an invoiced event.
- Event registrations: until the event has taken place, plus 12 months.
- Newsletter: until you unsubscribe.
4. Third parties that process data for us
Our forms are sent through FormSubmit, which relays the content of the form to our mailboxes. Table reservations in Liège run on the Zenchef booking widget, which collects your booking data under its own privacy policy. Typefaces are loaded from Google Fonts, which means your IP address reaches Google's servers when the page loads. Our online shop and its payment provider are covered by their own terms.
We do not place advertising or analytics cookies on this page. The only browser storage we use is a single local entry that remembers the language you selected (EN, FR or NL) — it stays on your device and is never sent to us.
5. Your rights
Under the GDPR you may ask us at any time to access, correct, delete, or limit the use of your data, to receive it in a portable format, or to object to a given use. Where processing is based on consent, you can withdraw it at any time — this does not affect what was done before.
Write to hello@utamu.eu. We answer within one month.
6. Complaints
If you believe we mishandled your data, you can lodge a complaint with the Belgian Data Protection Authority — Autorité de protection des données / Gegevensbeschermingsautoriteit, Rue de la Presse 35, 1000 Brussels — autoriteprotectiondonnees.be.
7. Changes
We update this policy whenever our tools or processes change. The date at the top of this page always reflects the version in force.
